Client preparation for GDPR scanning - IT Onboarding (MS 365 - Outlook)

The goal of the onboarding meeting is to connect your mail server to our compliance service and start scanning.

Additional sources like Onedrive, SharePoint, and File Share can be added later, depending on the subscription type.

If your mail service is on Microsoft 365 - Exchange Online

Before the meeting, ensure you have access to the Global Admin account for office 365  and a list of the email accounts that should be scanned. (In a PoC, no more than 25 users should be selected)

Preparation for IT Onboarding Meeting

  • Make sure you have the global admin user for your office 365 account
  • Prepare a list of e-mails for the users that should be scanned during the PoC
  • Create an AD-group of max 10-15 e-mail accounts that should be scanned (test group), e.g. "Dataandmore_scangroup"
  • Ensure all users on the list know that their mail will be scanned and they consent to the scanning.

If your mail service is Exchange On-Premise

If you have an On-premise Exchange Server, we need an External endpoint to the Server. 
It will often be something like  mail.yourdomain.com, but please check it before the meeting.

We will also need a valid email on the Exchange Server that should be named gdprscan@yourdomian.com + the password for the email. The password can be exchanged during the meeting.

Finally, the users' mail accounts (max 15 in a PoC) should be delegated to the gdprscan@yourdomian.com. To do this you need the be Exchange Admin on the mail server.

We recommend doing this manually for the PoC, (see our guide here for more information on how to make the service account and do the delegation)

Preparation for PoC Meeting for On-Premise Exchange

  • Make sure you have the Exchange Admin user for your Exchange Server
  • Create a service account, "gdprscan@yourdomian.com" with a valid mail account
  • Prepare a list of e-mails for the users that should be scanned during the PoC
  • Make sure that all users on the list know that their mail will be scanned and they consent to the scanning.
  • Delegate the test user mail account to gdprscan@yourdomian.com (a guide for delegation can be found here: delegation)
  • Validate that the users are accessible from the service account using OWA
  • Make sure the endpoint for the On-Premise exchange server are available to the D&M server

During the meeting,

During the meeting, we will make an app registration in your Azure Portal if you are on Office365. For application registration in office 365 click here

If you use Exchange On-Premise we will validate the service account by accusing the account via OWA and that our server can access the endpoint.



After the meeting

After the onboarding meeting, the GDPR scanner needs some time before it finishes analyzing all your data. This can range from 1 day for 10 accounts to several months for very large accounts.

After 30 days you will receive a link to the compliance-manger which looks like the picture below.
