When is data deleted with DAMCS

The deletion of data depends on the type of data, and if there is a legal hold.

If your onedrive is not linked to you laptop, you can find the deleted items online in your onedrive / Recycle bin

**Please be aware that some organisations apply a legal hold to data in the recoverable items folder.

For SharePoint;

SharePoint has a Recycle Bin similar to other Microsoft services like Mail (Outlook) and OneDrive. The Recycle Bin in SharePoint allows users to recover deleted items, such as documents, folders, or entire libraries, without needing to contact IT support. Here's how it works:

1. End-User Recycle Bin (First-Stage Recycle Bin)

  • When an item is deleted in SharePoint, it is moved to the user's Recycle Bin, also known as the First-Stage Recycle Bin.
  • Access: Users can access the Recycle Bin directly from the SharePoint site by:
    1. Navigating to the site.
    2. Clicking on the Settings gear icon in the top right corner.
    3. Selecting Site Contents.
    4. In the bottom left corner, clicking on Recycle Bin.
  • Duration: Items remain in the Recycle Bin for 93 days after deletion.
  • Recovery: Users can restore deleted items themselves from this Recycle Bin unless the item has been permanently deleted.

2. Site Collection Recycle Bin (Second-Stage Recycle Bin)

  • If an item is removed from the First-Stage Recycle Bin (either manually or after 93 days), it moves to the Site Collection Recycle Bin (also known as the Second-Stage Recycle Bin).
  • Access: This Recycle Bin can only be accessed by SharePoint administrators or Site Collection Administrators.
    1. Admins can navigate to Site Contents > Recycle Bin, and then scroll to the bottom to find the Second-Stage Recycle Bin link.
  • Duration: Items stay in the Second-Stage Recycle Bin for the remainder of the 93-day retention period, or until permanently deleted by an admin.

3. Permanently Deleting Items

  • After the 93-day retention period, items in both the First-Stage and Second-Stage Recycle Bins are permanently deleted and cannot be recovered through the Recycle Bin.

4. Version History and Recycle Bin

  • SharePoint also maintains a Version History for documents. Even if a document is not deleted but overwritten or changed, earlier versions can be restored without using the Recycle Bin.

Summary of Recycle Bin Features in SharePoint:

  • First-Stage Recycle Bin: Available to all users for 93 days.
  • Second-Stage Recycle Bin: Available to admins for items removed from the first-stage bin, part of the same 93-day retention period.
  • Restoration: Users and admins can restore items easily within the retention period.
  • Permanent Deletion: After 93 days, items are permanently deleted and unrecoverable.

The Recycle Bin feature in SharePoint offers a simple and effective way to manage and recover accidentally deleted content.
